RACE TERMS AND CONDITIONS
Ogopogo Extreme Triathlon, Ogopogo 3500 and Ogopogo Relay
Organized by Ogopogo Extreme Triathlon Ltd.
GENERAL
By registering for and participating in the Ogopogo Extreme Triathlon, Ogopogo 3500, or Ogopogo Relay (collectively, the “Event”), each participant agrees to abide by these Terms and Conditions, the Event Rules, and all instructions provided by Ogopogo Extreme Triathlon Ltd. (“the Organizer”).
ELIGIBILITY
Participants must meet the minimum age requirements set by the Organizer and must be physically and medically capable of safely completing the Event.
Ogopogo Extreme and Ogopogo 3500 participants must race individually unless registered as part of an approved relay team.
Relay teams must consist of the number of members specified in the Event Rules.
All participants must complete registration, submit all required documentation, and sign the Event Waiver before being permitted to start.
SUPPORT CREW REQUIREMENTS
All race categories require participants to have a designated support crew and vehicle.
Participants are responsible for ensuring that their support crew understands and complies with all Event Rules and applicable laws.
Support crew vehicles must be properly insured, licensed, and operated by legally licensed drivers.
The Organizer reserves the right to penalize or disqualify participants for unsafe or non-compliant support crew behaviour.
EVENT RULES
Participants agree to follow all published Event Rules, including but not limited to:
Cut-off times and mandatory checkpoints;
Equipment and mandatory gear requirements;
Drafting and relay rules;
Traffic laws and trail regulations;
Directions from race officials, volunteers, and emergency personnel.
The Organizer may amend the Event Rules at any time prior to the Event for safety, operational, or regulatory reasons.
SAFETY AND MEDICAL RESPONSIBILITY
Participants are solely responsible for assessing their own fitness and readiness.
Participants must withdraw if they become injured, ill, or unable to continue safely.
Participants authorize the Organizer to arrange emergency medical treatment if necessary.
Any costs related to rescue, evacuation, or medical care are the responsibility of the participant.
COURSE CHANGES AND EVENT CANCELLATION
The Organizer reserves the right to modify, shorten, reroute, delay, suspend, or cancel the Event at any time due to circumstances including but not limited to:
Weather or environmental conditions;
Wildfire, smoke, or natural disasters;
Road closures or permit restrictions;
Public health orders;
Safety concerns;
Acts of government or circumstances beyond the Organizer’s control.
The Event may be held in modified form without prior notice if required for participant safety.
REFUND POLICY
Unless otherwise stated in the registration policy:
Entry fees are non-refundable and non-transferable.
Deferrals are not permitted.
No refunds will be issued for withdrawal, disqualification, cancellation, or Event modification due to force majeure or safety concerns.
TRANSFERS AND DEFERRALS
Transfers to another participant, race category, or future event are not permitted.
DISQUALIFICATION
The Organizer may disqualify any participant without refund for reasons including but not limited to:
Failure to comply with Event Rules;
Unsafe conduct;
Unsportsmanlike behaviour;
Use of prohibited substances;
Providing false information during registration;
Abuse of volunteers, officials, or other participants.
TIMING AND RESULTS
All official times, rankings, and results are determined by the Organizer. Timing data may be adjusted or corrected as necessary. Decisions regarding results are final.
MANDATORY EQUIPMENT
Participants must carry and use all mandatory equipment listed in the Event Rules. Failure to do so may result in time penalties, disqualification, or removal from the course.
INSURANCE
Participants are responsible for obtaining their own travel, medical, accident, and liability insurance. The Organizer does not provide insurance coverage for participants or support crew.
PHOTO AND MEDIA RELEASE
By participating, participants grant the Organizer the unrestricted right to use their name, image, likeness, voice, and race results in photographs, videos, broadcasts, and promotional materials without compensation.
PRIVACY
Personal information collected during registration will be used for event administration, safety, timing, results, and communications. Information may be shared with timing providers, emergency personnel, sanctioning bodies, and government authorities where required by law.
FORCE MAJEURE
The Organizer shall not be liable for any delay, modification, or cancellation caused by events beyond its reasonable control, including natural disasters, wildfire, severe weather, acts of government, war, terrorism, epidemics, pandemics, or infrastructure failures.
GOVERNING LAW
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Province of British Columbia and the laws of Canada applicable therein.
SEVERABILITY
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
ACCEPTANCE
By completing registration and participating in the Event, each participant confirms that they have read, understood, and agreed to these Terms and Conditions, the Event Rules, and the Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement.
